About the role
We have an exciting opportunity for a Full Time Administrator to join our team at Manchester Magistrates Court. This role is working 37.5hrs per week, Monday to Friday, 9.00am to 5.00pm.
As an Administrator, you will be responsible for administration duties including helpdesk cover, PO Management, Stationery stock control and Data Input.
Responsibilities
- Raising PO’s for all rechargeable items and to maintenance suppliers on Ariba. Sourcing products and obtaining quotes as required. Relevant spreadsheets to be updated daily. Ensuring PO’s receipted in timely. Deal with supplier queries in relation to PO’s and invoices. Dealing with deliveries relating to items ordered.
- Ensuring all spend spreadsheets are up-to-date, including credit card purchases and all PO’s raised by self and colleagues.
- Responsible for Client Stationery stock levels, replenishment and distribution of stationery to Departments, with all requests recorded.
- Responsible for Royal Mail postage figures and spend, and liaison with suppliers relating to franking machine maintenance. Logs to be updated daily.
- Responsible for recording copier usage figures, first line response to copier breakdowns and liaison with supplier for specialist repair requirements.
- Raising invoices as directed by Account Manager.
- Ensuring accurate use of budgets for PO’s and Invoices.
- Review and log of waste visits to ensure invoices contain accurate breakdown of visits made.
- Logging of Near Miss incidents onto Info Exchange.
- Preparation of monthly Performance report with volume related detail.
- Helpdesk cover on rotation with the team, ensuring jobs logged timely onto CAFM and closing down jobs on the system.
- Management of Supplier files to ensure these are populated with relevant PO/Contract information and H&S documents.
- General administrative duties as may be provided by Managers on an ad hoc basis.
- Cover Porterage duties when required.

- IT – Google Docs/Sheets/Drive
- Effective Communication
- Excellent organisational skills
- Experience with CAFM management
Desirable:
- Concept Evolution, Ariba, SAP
