Within Care and Rehabilitation Services, the philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society on release. We seek to normalise prison conditions as far as possible to reflect life in the outside community. Our aim is to create an environment in which staff and prisoners feel safe and causes of prison stress are minimised. Central to our philosophy is the relationship between staff and prisoners. Our training and operational practices emphasise the need to treat prisoners with dignity and respect and G4S staff build positive and supportive relationships with the prisoners in their care. HMP & YOI Parc accommodates 1038 convicted male adult prisoners and remand/ convicted young offenders and young people in a secure but modern environment.
We now have an opportunity for a Residential Management Assistant to join our team at HMP & YOI Parc.
The successful candidate will assist in the smooth and efficient running of the designated residential area by providing sound administrative support and assistance in related issues.
Key Responsibilities
- To provide admin support for Houseblock staff briefings –dependent when they are- (Monday- Friday) to actively ensure ALL staff who work on the houseblock receive minutes- E mailing list.
- To provide admin support for weekly Houseblock OM Meetings & all other specific meetings.
- Design and provide:
- CMS/ PO entry monthly database
- Report any trend analysis to SOM /OM on a 2 weekly basis
- Arrange and order stores for designated areas.
- Order and produce – Business Portal orders for individual Houseblocks
- Support SOM in responding to all correspondence - complaints / letters, etc….
- Support OM’s and SOMs quarterly Cell Inspections
- Co-Ordinate and send out information for SLPs for houseblock
- Update databases for the following: Cell Searching, Cell Clearance,Risk Assessments, Focus Groups, Complaints, CMS/PO entries, OM Surgery, Cell Inspection records..
- To provide general administrative support for the Head of Residence, senior manager and operational staff on residential living units including receipt and delivery of internal and external mail daily(AM & PM).
- To assist with the control of stationary ensuring that residential areas have adequate supplies to carry out their role.
- Provide cover in the absence of other Residential Administrators as agreed.
- Attend internal training courses as directed.
- Produce weekly wing workers job vacancies for houseblock
- To provide reports , names and co-ordinate files for IEP review Boards- to update database- files provided by PO, checked by managers, processed and passed onto OM/SOM
- To complete any task commensurate with the role
- Support sickness management
- To provide admin support for specific areas as part of the ongoing action plan.
- Any other management admin task assigned to you by the SOM or HOR
The Ideal Candidate
With excellent communication and organisational skills you will be required to work as part of a team but at times also use your own initiative.
Experience of working in a busy pressured environment is essential together with excellent IT skills working knowledge of Google packages, Stage 2 typing/word processing and minute taking.
